Birth certificates are state vital records, so the apostille comes from the Secretary of State of the issuing state — a California birth certificate is apostilled in Sacramento ($20, same-day at the counter), a New Jersey one in Trenton ($25, roughly 12–20 business days). Each state has its own fees, queues, and formatting rules, and NYC-issued certificates need a Letter of Exemplification plus county-clerk authentication before New York will apostille them. A certified copy of the birth certificate issued by the state or county vital records office — with the registrar's signature and raised or digital seal. Hospital "souvenir" certificates cannot be apostilled.

The long form / full version is the safest choice for OCI and Indian authorities — it shows parents' details.

A recently issued copy is best. Some states decline to apostille certificates with older registrar signatures no longer on file.

Can you apostille the hospital birth certificate with the footprints?
No — no state will. The hospital certificate is a keepsake, not a legal record. What gets apostilled is the certified copy from the state or county vital records office. If you don't have one, we'll point you to the issuing state's ordering channel (many use VitalChek) and take over once the certified copy is in hand.
We don't have any US copy of the birth certificate — can you get one?
We'll guide you through ordering a certified copy from the issuing state's vital records office remotely — most states allow online orders with delivery to a US address, and it can ship directly to our processing address so it never crosses the ocean twice.
Does the birth certificate apostille go through Washington, DC?
No — this is the biggest misconception. Only federal documents (like the FBI PCC) go to the US Department of State. Birth certificates are apostilled by the issuing state's Secretary of State. Sending one to Washington just gets it returned.
Short form or long form for OCI?
Long form. OCI processing wants parents' names, which the long form / full copy shows. If you only have a short form, order the long form certified copy first — we can guide you through it on WhatsApp.
How long does a birth certificate apostille take?
It varies by state — California, Illinois, Georgia, Florida and Massachusetts offer same-day counter service, while Texas can run to about 25 business days by mail and New Jersey 12–20. County pre-certification (needed for NYC-issued certificates) adds time on top. When you tell us the state, we quote the realistic door-to-door timeline along with the price.
Is an e-apostille acceptable?
It depends who is asking, and for OCI the answer is no. VFS Global's OCI checklist says plainly that an e-apostille on the full version birth certificate is not accepted and a physical paper apostille is required. Some states now issue e-apostilles by default, so the paper version has to be requested explicitly — we request it as a matter of course.
We live in one state but the child was born in another. Which one applies?
The state that issued the certificate, always. A child born in California to parents now in New Jersey is a Sacramento file. Sending the certificate to your current state — or to Washington DC — simply gets it returned after weeks of waiting. This is the single most expensive routing error in the process.
